okay I'm just pulling up the agenda um I'll call the meeting to order at 6:17 p.m. uh the first on the agenda is the approval of yeah he's pulling it up yeah yeah um first on the agenda is the approval of the agenda moved do you vote for a second before that oh okay taking that back scrap that first on the agenda is uh you can approve the agenda then do that let's do that okay so we have first from Nancy second from fellow um all in favor say I I I okay agenda next on the next song Here agenda is um the approval of um both Jerry and Jillian will do it separately to vote virtually so our entertain a motion to approve Jillian for remote voting so move second first and Phil second from Nancy all in favor say I I I um so motion is approved and next would be a motion to approve Jerry to uh vote virtually so the person feels like second all right Jerry is approved okay next on the agenda is uh we want to do that first before public participation okay okay we need to oh yeah we could do public hearing yeah okay before public that's fine yep so we'll open the public hearing to accept um a gift from the burn Foundation for the D it is um actually can I share a little bit of good news while we're here because you actually have a couple to approve so public hearing was timely so we actually we have uh 2 grants from the burn Foundation to approve uh 1 is 15,000 for the dit and we found out very late yesterday that uh I had written a request to them to approve capturing kids hearts and they awarded us 25,000 for capturing kids for wow great and you have a third 1 I also worked with the capturing kids heart organization because they have their own foundation and they also we I literally just found out an hour ago uh they approved us for a grant of 13,550 so you have 3 because they're all over your threshold of 10,000 uh to improve with that 38,000 cover the cost of that it's going to be a week only 4,000 shy but we're going to take it out of reap so I'm going to change up when we get to the fund balance discussion okay about what we're going to suggest in Phase 2 instead of capturing kids Hearts okay yeah so we have the 15,000 I'll do it 1 at a time so yeah okay so first we need a motion to approve the um 15,000 gift from Burn founding Destination Imagination teams so move first from Phil second from Nancy I got this guy all in favor say I I I I approved next is the you can do the burn for the capturing kids okay so I would entertain a motion to approve the 25,000 gift from the burn foundation for the capturing kids Hearts program so fancy second from Phil all in favor say I I I great and last but certainly not least is uh which 13,000 550 okay and then uh lastly to approve the gift of 13 or Grant of 13,550 from the capturing kids Hearts foundation so moved first from Nancy second from Phil all in favor say I I I I I great done done okay uh next on the docket is public participation oh you want to close your public hearing public yeah oh okay so you can go roll right in they were they were okay um I would entertain a motion to to close the public hearing do I need to say what the public hearing was specific to so no okay first from Nancy next on the agenda is Chrome roll School Board liaison I'm gonna give a shout out I was at the senior Awards night last night oh someone yeah I know this 1 did pretty well I also saw you with the um uh the celebration for the end of exams you got is that uh yeah so this is our I mean there's not an insane um report this week is our uh senior celebration week so Friday last Friday we had um uh 3 exams and then Springfest which started off with senior celebration which is chalk fight we had a um food truck and then we had had a yearbook to have like Mingle for like 2 hours just really fun from 11:00 to 12:00 can you explain chalk height yes the chalk height so basically they gave us big boxes of different colored chalk and so we would like powdered chalk and we would all pick up handfuls and they off you know I got to throw it and then there was more so we were like throwing at each other so we were all wearing um the spirit day for seniors was white white out so we all wore white clothes and now we all have our stained white clothes with all the chopped colors very cool um now I have a free tie-dyed shirt like the Indian festival really fun um and then we had Spring Fest which is just a bunch of teacher lot activities we had like catch the flag we partnered with positive tracks to bring Bounce House obstacle course to um 1 of our Fields so basically um it's like the bounce tracks is basically is what they called it so it was a 40ft bounce house with all the different obstacles and then it tied into did relay races with it so I'll just cancel organized relay races um so that positive tracks basically fund the um 500 rental fee like we don't want to pay lots of tracks did if we um tied into outdoor activity and like getting outside being fit so they set up their little table and then we had that plus a bunch of relay races um we had staff Splash which is where staff members would sign up to get buckets of water dumped on them principal Smith suggested that we had ice to it for extra dollars so we did um that was fun I think um it kind of put it out after the first 3 staff members and then we dunked the superintendent in a duct tape so and then um anyone who wants to do the dunk tank after hammer Street school is done using it to come over and we um rented it uh with hammer Street School from uh lire so they have this duct tank I think they may have borrowed it from Claremont and then it was like like anyone who wanted to go into something that could anyone who wanted to throw balls that it could um so that was really fun I did that I did it last year and 2 years ago I did not this year I forgot a change of clothes which I didn't realize until after the chalk fight and I was like wait I have to go now sell food covered in shock so I got back to my car and realized I had a pair of coveralls and so I wore coveralls for the rest of the day um so quite a few photos of me just walking around um looking lost in coveralls which is really funny um I was kind of just regulating all the events making sure no 1 was none of the events were like floundering so that was kind of fun um yeah senior celebration this week so yesterday was awarded to your your last week as um uh like uh Lake host coordinator for Eastman I wanted to say that last week golly presented to the lakes and streams committee at Eastman gave a fantastic overview of a senior project of was watching um on the you studied the health of these midlife yeah basically through the um National or the New Hampshire Academy of Science based in Lime um Leon High School does an ELO with that except doesn't actually with that every year to um do whatever research project you want to do so I partnered with them um and did a water quality assessment of the Lake of the winter I presented at the New Hampshire um science and engineering Expo down at HTI so that I came back to East for my presentation to the lakes and streams committee as well and you knocked our socks off yeah it was fun it was a fun presentation um and then yeah go for this week the entire senior class got at least 1 award she's kind of amazing to see um and then today was our senior trip I didn't go personally because I didn't feel like going down to ride Beach on a 65 degree day when it was windy so I personally abstained from that and I went for a bike ride instead um tomorrow during Elementary School visits so everyone's going back to whatever Elementary School they came from so I'm going back to GBS again um uh so anyone even if you didn't come from a school in the district specifically so you can reach out to our Administration and they can go talk to the administration says whatever schools so I know that our kids are going back to like Crossroads or kids going back to like bow like they're a bunch of everyone's dispersing tomorrow it's going to be really fun yeah um and then Thursday's graduation and Friday is um the there's an alumni event that's happening on the green and then Saturday is the alumni Day Parade so busy week for seniors not really busy for anybody else all the all the underclassmen are still in classes um getting recorded files for next week um you think yeah but that's about it uh we had all of our Honor Society um recognitions within the past month because they had to get their cords to their seniors somehow so we had Spanish on our society friends our society and science on our society who all had their little yearly uh little hearings in the right word induction ceremony and then National Honor side at the beginning of the year um so that was really fun to just see and celebrate everybody he was doing all of those things we had our Shakespeare shows so every senior is required to take an English of some sort because you have to take boring English classes through your uh High School career you could choose to either take um AP Lit or Shakespeare so um Shakespeare is college prep class basically you read Shakespeare Works throughout the year and then your final is putting on a Shakespeare so my seventh period class did um uh 50s adaptation of Taming of the Shrew uh third period did um they've been several nights dream but like making Coachella so I think was how they described it and then um second period did not a Shakespeare what they did Pride and Prejudice um the full so I was sitting in that audience for 2 and a half hours oh my goodness wow this is a very long show but it was really well done yeah that's life at low in high schools for May and June we've kind of just been celebrating each other the entire end of the year which is really so exciting nice anyway questions for Ollie yeah well when do you sleep good time in old age I got I got to sleep in this morning before white bread white bread yeah 25 miles later yeah can I ask for you congratulations thank you um Ollie we have appreciated your time with us just incredibly not only are we proud of you for a grant and perspective but I'm that you have come and joined us and shared your perspective and your energy and your positivity it's been really a pleasure 4 years I know we're very proud of you yeah and if you got any connections mine death of people I I did get 1 email inquiry so I kind of sent them your way Holly yeah thank you guys for letting me be on yours to uh liaison it was so much fun I'm glad to be here for 4 years so I don't know where the time goes no I can't believe it was 4 years ago like that's that's crazy to me why are you just in first grade we all say that to you ollie and then someday you're going to be the where we are and you'll be like oh no no I mean I'm seeing it with like students right now like Jude graduating sixth grade I'm like wait what yeah right like we we overlapped I was in sixth grade she was in kindergarten and that was Co and she's graduating GVS this year I was like no way I she's choosing 11 High School teachers or 11 Middle School teachers she's like who do I want and I was like I don't I don't know I was on Zoom my first year what are you talking about yeah well thank you so much Ollie we're very proud of you thank you come back any time thank you ollie congrats speaking business still going on it is yeah yeah kind of an order in quite a while which I'm kind it's fun to do it's I'm just glad it hasn't been happening during all senior events so you have free time now yes I do okay can you email me your stuff so I can order for sure okay yay thank you okay that's a moment now I just want the agenda oh um I think we have a number of Christine items first is introducing student services yes I would like to introduce Jamie Malloy she is our services um filled at her he was part of um we're excited that she's going to be joining us on July 1st coming to us with over a decade of experience um as an associate director in the kirar Regional School District um has experience working in Lebanon was at Lebanon Middle School how many years 11 yeah 11 um so she's kind of going back to our home base a little bit here um and no secret Jamie and I have worked together in a few places so yeah we're excited um I don't know if you want to share anything else Jamie um your background experience whatever you you're welcome to no pressure um started um abilities I had a few family members um and them really at UNH um they their got my masters um made a trip down to Virginia came back to the Sea Co so and then up to 11 and so I've been doing General special education the autism certification emotional disorders um what else 1 of our 4ks is behavioral programs and you know she sells she's pretty modest here and then she did an excellent job in karge developing a behavioral program um you know for the for the regional elementary school so yeah yeah we are thrilled thrilled thrilled thrilled for sure any other questions no we're so glad you could come it's crazy to see your face go enjoy the nice night you don't have to hang out yeah no please no oh yeah off into the great to see you again okay next on the agenda is family and staff handbooks I'm going to turn that over to Kris Kristen this is all her yeah so um we had a snafu for um 2526 in that um I guess I think it must have been the first year we did a really Dove everything into almost start and so on the start registration went out and they have to sign the handbook and we didn't have the handbook done um so this year we got a good job on it so we've done way ahead of time um when I was looking through it I really tried to adapt the way it was um organized I guess it before it was alphabetical kind of but not really you could tell things were thrown in in different spaces so I tried to put it in a more logical order um and other than that it was I took out a couple more things as we were getting farther away from Co um added a couple things that it's all on that um cover sheet and then just general edits that as many times as you read it you always find something else that could get fixed so so it's very helpful with the changes that the letters are sent to focus on what you changed good so yeah thank you so that's it I appreciate that big effort it's like I just was wondering what did you find the time to do that you just have to find the time it's awesome uh any question any other questions or feedback we have to approve them definitely yeah and if you can do them separate and there will be um edits that so kind of still living document because we're going to hire more people but that's the the basic stuff that we needed to get ya get in okay great so an entertain a motion to approve the family handbook press up second and second for Nancy all in favor say hi hi hi hi so moved uh I would entertain a motion to approve this stuff handbook so moved first from Nancy second second from Phil all in favor say I I those 2 on yeah you can hear them they just take a minute they just a slightly little day it's okay uh great next on the agenda is the bid process for custodial Services yeah so um Rodney did some research around some companies in the area and we said let's let's try a bid let's we know we've gone down this path we contracted Services it worked for a little bit it didn't but we're going to try it again and resurrect it so you have a you have a copy in your packet of the RFP uh we've already got 2 responses in um it is open till Friday my question for the board tonight is because you don't have another June meeting if you're okay that once we get them all in we'll send you proposals will give you our analysis and then you could do the final approval through a g uh through a email vote sure if you guys are open to that absolutely and then we will go from there um and we're going to see what we can do but he actually what initiated this is he had a company reach out to him and gave us a a pretty good bid like without even the bid process being there and we're like okay let's let's reopen this and see what we can do around it so there's no action really tonight to take just know that you know when as we go through this probably towards the end of next week we'll be sending you guys an email saying here's what we received here's our analysis here's our recommendation and you guys can take it from there sounds great okay is this something done before yes sorry I don't I don't mean to interrupt I can wait go ahead I was just say is this something new we haven't done before we have had a contracted service um come in before it worked for a little while then it didn't work things changed Co hit all of that right but we're going to kind of go back to it and give it a try and it would only be for nighttime services to help Heather in the building because she's all on her she's by herself it's a big building it's a big building yeah okay thanks Jillian um I don't want remember talking about this before so maybe I missed missed something I was surprised to read it I'm not against it I just is this something we asked for or was there a Gap not being met and yeah we have been able to hire a part-time custodian I don't even know how long so you I thought we removed that position like position we we and the job has been posted yes yes it's it's been posted all year oh jeez okay and so we're using the budgeted dollars for that correct to fund this that's where the budget's coming from so this is not an it cost no for this yeah and we'll likely save money yeah yes and my question was I'm sorry I don't know the night custodial Heather Heather um will this impact Heather's hours no um is she working more than she wants well this cut her hours won't cut it it's going to keep her exact hours but what we're finding is 1 person even with her hours we can't get through the whole building it's a lot of square yeah yeah yeah and so this this position is not going to be equivalent in ours because she's full-time she's 40 hours a week okay this is only going to be 25 hours a week because that that matches what we set up as a part-time position in the budget as an employee yeah but I mean the 1 thing you're not going to have to pay here is benefits and stuff yeah so good really good yeah we're going to give it a shot we'll see yeah are these companies I mean we've used before or not I don't think we the ones coming in we have great we look forward to that okay okay before school program guidelines um we said earlier back in the fall we you you approved the rate increase to from $3 to $5 for the before school program at your last meeting showed you back the file we're going to get our act together and get this outlined uh you have the version I had a more narrative version played around with AI and liked how it formatted it out for us so it was cleaner and very succinct I guess the the biggest thing I would point out into these guidelines for all of you is that an admin team we are proposing that when people sign up for this that when they register let's say they uh sign a child up and they register for 3 days a week they're going to get billed have that 3 days a week whether the child is there or not because we have to staff no matter what so you know if there's light day when there's absences with kids I don't know that until the morning I can't call somebody off and say well you can't work so our staffing model is built around having our 3 people there all 5 days a week to fulfill the cap that we could reach with that Staffing model so we want to be really explicit this year and getting that out we have a communicate process we're going to follow once these guidelines approved to the that are going to be included with the Alma start beginning docs it'll be posted on the website we'll have registration through the alma star we'll also have registration um through our Google form on the website um but we're also going to be able to now be able to hand to something with people who come in mid year that we kind of we missed that this year like when people signed up mid year we didn't really give them all the beginning information but now we have a way to make sure we're ensuring that um and so that's really the biggest change of why we articulated these guidelines so people know upfront and they can they can always make a they can say Hey you know second half of the Year we're not going to need it cancel us we absolutely we will cancel them if they have paid upfront will refund them if not you know um and you know we are putting that emphasis in like you know give us some payment here um because we don't want to continue these high bills um Brenda's been doing an excellent job at the end of this year collecting things that are back due and yeah yeah yeah but it is a collection yeah yeah every year you know June you're chasing them down because people forget and you know yeah Christina question because I don't know how many students does this allow us to have um this would allow us to have anywhere from probably 25 to 30 to pending we usually cap at 30 yeah we usually cap at 30 and the criteria I think I read something about there's certain criteria for the students to be chosen or it's just the first customer yeah just first come first sign yeah no and we do offer some scholarships based on I saw that yeah um I mean 1 of the benefits also of the guidelines was taking call the people because I this this has gone to Meredith Kristen Fran Brenda Marcia uh Debbie and Denise who man the program so everybody's had input on this and I think 1 of the things I heard from people is we outlined who's doing what so we know what's getting covered by who and you know and then that way we all kind of know our roles that we play in the in the program right and where are these kids physically when they're here um they start in the cafeteria they they can be dropped off at 7:30 they come in to the cafeteria and then by 8:10 they are outside if it's nice outdoor recess with everybody else that dropped off early and if not you know during winter months we have the walking Club in the gym um but yeah they combine some gaming before they go outside and then some outside play yeah and the staff of this are the teachers as well or the separate people I just because well 1 is uh Deb Bailey who's our food service okay uh the other is marsh and googans who's a pair of professional and Denise Mason who also helps out in food service so yeah thank you yeah great looking we need we don't need to be approved for the guidelines I don't think you do it's an admin guideline so yep great awesome hey John that is area updates well I I'm going to toss that also to Jerry and to you um some of the area updates were in my um superintendent report um I think the biggest update I would add is we're going to talk about it coming up under policies so we had the conversation about best interests um I'm going to toss to dare you to add your take on that you want to say anything um yeah I mean can you guys hear me okay yep alright we uh it was another good meeting you know I continue to appreciate the relationship that we have and and that these meetings are a part of the agreement that we uh we meet frequently and and can talk pretty openly about things planned together all that stuff so it's been a good experience um I will say that Leb has been um making some indications and asking some questions about uh proposing some changes to the agreement itself mid cycle and so uh certainly lots more convers and discussion to be had about that um there's nothing formal or anything at this point but I I have some concern about which direction that could go and the can of worms that could open so I think uh I just wanted to put in the back everybody's heads that I think we will likely need to talk about that more over the next few months and um it's I don't know that I go as far as to say concerning yet but I I think that it has the potential to become concerning um the based on some of the initial comments that the the web folks have made I don't know Christina Leslie if you if you concur or you disagree yeah no I'm thinking about that part of which was a significant part of the meeting and feeling like I need to really uh study the existing agreement more carefully Christine and I have talked about um some of the sort of concerns or issues raised by our lab colleagues they're touched on in the agreement so we just need to kind of get our heads back wrapped around it we can give a shout out to the New Hampshire State Legislature for like throwing everything up in the air and I think that's a large this is that's where a lot of this comes from this discussion because we are looking at all kinds of issues specialized costs enrollment policies all these things and an example of you know enrollment and tuition we have very clear guidelines in uh um area agreement about things that touch on possible open enrollment and things like that so I think Christina and I just in the next couple months will get I mean Christine's already an expert I'll join I'll I'll catch speed up speed with her but yeah Jerry you're I mean it's um it's just the way that we're all making meaning and sense of what being on our way continually I think I think you hit the nail on the head I I think what lead is concerned about or or is asking questions about is legitimate I think it is absolutely with the state legislature has triggered and we have been I don't know I'd say feeling safe but have appreciated our area agreement that we're in a different position than maybe some others but this is literally exactly what the the legislative actions cause um we're we're sort of it it it makes districts go tribal in a way that I think you just counterproductive yeah well said yep yep that would be great I mean 1 follow up that did come out of that meeting I was just reviewing the notes real quick and I thought oh God I got to fill in Meredith on this but we left it that the business administrators and superintendents of the 3 so plain field included would get together to talk about special ed costs and what are we seeing what are they seeing and all that so just jog my memory and I'm like I'm going to email Amy tomorrow and say hey we got to get something on the books so for fall because we're supposed to report back and that is 1 that I'm glad you brought that up specifically because in my mind that is a very legitimate sort of um I don't know about change but the way that we're all having to manage special ed costs compared to 8 years ago and 7 years ago when we renegotiated the agreement that it feels like night and day our orders of magnitude different so I think that's pretty valid for us to be talking about it openly before yeah we're doing the whole agreement so thank you Jerry I agree with you next on the agenda resignations um for nominations um so we have a teacher resignation you guys already know about it um Miss Cassie Dunkerton in sixth grade um has accepted an Eli teaching position at Lebanon Middle School um yeah we wish her all the best uh she's been fantastic over the last 5 years so that would be the first 1 that you will need to take action on okay I would entertain a motion to accept the resignation with much gratitude uh for Cassie Dunkerton so first from Nancy second from film all in favor say I okay thank you Cassie our other resignation is a pair of professional that is Katherine Gorman um and Katherine uh did uh long-term sub position for us in first grade When Miss Johnston was out having her baby um and she has also resigned um potentially accepting a position in another District as well so she has resigned her para position so that would be Katherine Gorman and we thank her uh for coming on board um Katherine came to us from Claremont um and jumped right into it and really provided coverage in other ways for us so I would entertain a motion to accept the resignation with appreciation of Katherine Gorman first or Nancy second second from Phil all in favor say I I I I nomination I didn't know about this well I read the packet yeah so 1 of our former students is coming back to us she was substitute for us throughout this year until she went hiking on the Appalachian Trail um and it was funny because we made this all happen while she was still hiking on the Appalachian Trail in fact I don't think she's back yet I don't think she's backed up with her for her I think so yeah yeah so I want to know a battalion wolf uh for a pair of professional role and she is likely going to also um do our RBT training course oh man so for us um but I will be meeting with her not next week the following week because she should be off the trail then wow I told her I would bring her because we already have her in the system so oh yeah I would accept the nomination and Malin wolf my neighbor oh so move first from Nancy second from film all in favor say I I hi to get used to calling her her grown-up needing instead of Maddie tell Maddie right they should go by either yeah they'll take some time yeah um okay next on the agenda is uh summer hiring Authority usually at this time of year are you guys Grant the superintendent summer hiring Authority um we are the really hiring we're going to be doing is paraprofessionals we still have 3 open positions there um I'll fill well yes in the classroom teacher position although we we've got some Ripple effects going on with that um I can announce it I mean with Cassie leaving we have Katie Washman who's moving into sixth grade which is now opened fourth grade position we have interest within the building people are applying within that as well but we also have it posted um so a little bit of shuffling I will have to do a teacher position um yeah it could be who knows what not hiring for when this is all done alright sounds good Christian sent an email last week and our graphic was dominoes falling like yeah so it is a ripple effect but yeah they will probably be a teacher position I will hire for okay great yeah I would entertain a motion to give Christine Downing authority to do summer hiring first second second for Nancy all in favor say I I I I but that's okay um next on the agenda is the audit report I said I okay there it is there it is so the audit report is as presented just want to highlight that um there was no findings that was came back very well um and very proud of that for all of us and you know they just kind of give some highlights of stuff you know we got to continually every year reaffirm our financial policies and you know they've had some suggestions for some cyber security stuff that will look into especially when we have our new director of Technology on board so well thank you for creating such a good rapport that's a lot of work it's a lot of work yeah kudos to you yes Kudos thank you Meredith and I am going to send over a full report out in my next newsletter because I'm anticipating we're going to have legislation real soon that's going to require us to do that anyways yeah so it's supposed to our our auditing reports publicly but I mean they are because they're in your board packet but I'll call it out explicitly so yes yeah thank you again Merida and everybody yeah uh do we need to accept the it says action but I don't know we don't have the full report yet it's in the report yeah yeah you've got it yeah you should yeah okay sorry bring cramp okay I would entertain a motion to uh approve or accept it's really the um audit report from our Auditors so first from Phil second a second from Nancy all in favor say I I I heard you that time Jillian okay um next is the sale of the second band stop so our um 2016 Ford Transit um we looked at having it repaired because we had a situation that we thought we might need put it back on the road again uh so I had reads truck who has been servicing it um go through the van and it's really not work putting almost 5 grand into that van because to have a second van because then you got to maintain it we don't know you know the engine is okay yeah but so there's um you know the muffler is Rusted there's some rocker panels scream rusting so those are big ticket items not to mention the engine again and the transmission or other big ticket items so anyway um reads came back with that we said no um so we are waiting for which I've been waiting a couple of weeks now for the actual appraisal to so and once that appraisal is in we'll go through the big process we'll put it out post it do all the legal stuff that we need to do um get bids and figure out you know and get it great so hopefully it will sell um in July after July 1st so that Revenue goes into our next year thing um because I mean it's June we can't sell it yet we have to go through a whole process so that's where the van is at um you don't anticipate needing a second 1 no no that was something that was a temporary situation and it was something that you know we had to make a quick decision and this ban was already being looked at so it was already at reads for the appraisal and when they came back and said the number we were like I wasn't going to work yeah yeah so makes yeah uh so the next time um you guys meet we may end up doing this over email uh than to just get an approval so we can get it started right they don't have an actual failed to bring to you but right yeah great that makes sense thank you for the effort and the update yep uh next on the agenda is lunch price uh yes yes so as we do each year um propose the board approved the student and staff slash guest lunch prices um it's we're just increasing by the 10-cent cap which is the allowable costs were allowed to um based on the ple tool to um paid lunch Equity tool it gives you a sense of what we should be charging I can't fully do that worksheet yet because it needs you know whether we end in a deficit or not which we typically do so I can't fully but as of right now they're suggesting $4.15 we're currently charging $3.40 for a student lunches so we can only up it by 10 cents per year so um I'm proposing the current student lunches $3.40 for next year to be 3.50 and then for staff and guests it's currently 3.65 increasing up to 3.75 so this is the last item every year yeah literally the same conversation yeah okay that's right right curious yeah okay talk about pro-forma um do we need to um approve separate okay um I would entertain a motion to approve the student lunch cost of 350 for next year so first second second from Nancy all in favor say I I I um and I would entertain a motion to approve the July I lost her oh I think she's in the car oh okay um so that was for yeah yeah yeah I didn't hear her uh and then I would increase of let me do my numbers again um this was an increase of 990.50 from what you had originally approved so you just want to reaffirm that vote okay that you took in email do you need me to say those numbers um for the they're in their pocket but yeah yeah you should say the 27709 yeah okay so I would entertain a motion to do do you want me to say correct the amount or I would just say to a 10,000 because we no longer need that for capturing kids hearts how ever um I have some news for you that I discovered today um and that we may want to set 10,000 aside to another project um so I would say let's put this into 2 motions okay and 1 would be first so look at the 5 items that are coming in at a total of 20,398 um and I'll just say them verbally for the public so that is the various school locks with the oak security at 2533 Hampshire fire the kitchen Hood service which is 1988 Imperial day which is the backpack vacuum that I explained how we've been borrowing and now we've got to repair that 1 424 dollars the uh flame Locker upstairs which we we get through Amazon is 2473 um we did take the last time you had this you had the sweeper or the Brum Rodney and I have met we took that off because the painting we've talked about the painting around the building that needs to get done um we do have a quote um and a vendor willing to work with us over a 4-year period um and because this is coming in under your 10,000 threshold you wouldn't necessarily have to then take it through a public hearing Etc and all of that but we would recommend doing the it would be this part back part of the building especially over the cafeteria which just got the most wear and tear at 92 um and that would come in at 203 98 for you um I think this is also a good opportunity for Meredith to talk about her expenses and revenue sheet that she always provides you guys and where she sees us yeah so if you look in the financial reports of the folder um you'll see the budget versus revenue report and to be honest there's no real changes since last month um but you do have an updated total cuz I've now encumbered all of the phase 1 projects so those have been they'll not show in that encumbered column so right now we're 40,998.16 above our projection for the 350 plus what we said we would replenish the Expendable trust fund so you you have and and I will go on the record to say that I am still slightly conservatively encumbered in certain areas but um better that way yeah okay yes so I I feel comfortable with this number is okay so the 20,000 would come out as a 40 is that correct okay just that's what I thought so it's still the 20,000 even above what we're talking about potentially roughly that's 21,000 yeah yeah yeah I don't know if this is the right time to ask but uh I'm on the entryway again that the um repairs that need to be made yep about the columns yes Rodney is going to do that work and through Home Depot okay I mean he's on it project blessed for the summer great yeah so and it's about $600 worth of materials that I approved Pard the other day so and it was funds previously okay and tell those kids is not playing King of the mountains hard during the school day know for sure my office looks right down that line it's some of the structure it's just not building yeah but okay so it looks nice we need to approve the phase 2 discuss and approve the phase 2 expenditures and then I'll talk about the 10,000 yeah okay so any questions or discussion around those 5 um then by Chris yeah I do yeah okay I would entertain a motion to affirm or approve approve at this time yep approve uh the amount of 20 398 out of our unreserved fund balance for the listed costs so first for Nancy second from Phil all in favor say I I I I great okay okay so now the 10,000 because this 1's going to be a little bit different um if you want to go this route I learned today that um both igniters in our boilers are not working New Yorkers hey that just a boiler part we did get The Regulators all fixed the piping all fixed and we did have a couple good weeks where the boilers were actually doing what they were supposed to be doing which is cascading meaning 1 boiler is not running more than another um and it was showing good signs and then our igniters have failed um and we are going to need to replace those we don't yet quite know the cost because this just all happened in the same breath uh we also learned that air handling units 1 2 and 3 are having electrical control issues they're blowing fuses um and so again we're costing Randy uh Rodney and I are costing out what we know some of the other repairs have been related to some of these same projects I'm coming with a strong recommendation that I think you take the 10,000 that was going to be capturing kids card and you out and this 1's a little bit different you would actually do a motion to encumber up to 10,000 so we wouldn't go past the 10,000 and allocate it to Siemens for the specific use of the boilers and handling units to make those repairs you've got the money now again we just learned of these but there is some ongoing issues with are handling 1 2 and 3 we do not know why they continue to blow fuses um and I I mean Rodney and I we went upstairs today we looked and these things are these fuses are melted like we don't and seams is saying are you having any power surges in the building we can but I'm going to be in contact with eversource to talk with but you're going to have some repair expenses and based upon what repair expenses I've seen this year 10,000 is probably going to be a good ballpark for these expenses can I expect it to go over that time you could fill it you could um but you got to keep in mind you're going to put 50,000 in a maintenance trust fund right so you know when you know 1 of my encouraging things for you that we're going to talk about in budgeting is continue to replenish that maintenance I'd really like to see that get to a level of at least 250,000 cuz that's the cost of 1 of your big unit reports pretty much the standard 3% of your total Capital debt right so we're not even going to do that yeah right a quick question about money now and I would say instead of holding back and saying well let's see what the costs are going to be I'm going to say 10,000 and even if we're over that we've got some other money in the facilities budget for July 1 that we well you saw the 10,000 commission from what we had you said beyond that yeah yeah Jerry go ahead well I I mean I think you just kind of said it but I was going to ask like is there any intelligence to allow you to encumber 20,000 even though you know maybe it puts us under the 350 but I mean we're still at a surplus we're still returning money to the taxpayers but can we give you a little bit of breathing room that we can encumber now so that you can make decisive action deal with it and then we're sort of covered and and if its 10,000 it's 10,000 I I appreciate the conservative estimate but I also feel like the last time I hired an electrician HVAC person it was not what they estimated so I I guess what I'm saying is from my perspective I'd be willing to even go beyond that to give you breathing room and then trust you to manage it as as tightly as possible I I will say that Christine and I actually this discussion before coming over here today good because honestly I I feel comfortable that you know there's still a lot of things in play for the last few weeks of until we get to June 30th um I feel comfortable that you know is going to be an additional 10,000 um so if if you wanted to do a motion up to 20 we can kind of see where we fall um you know but then we kind of landed to at the fact that we are putting money into the you know we put an issue in the facilities trust fund as well so um but yes I I mean that would cover us I trust you guys and I will absolutely happily take your recommendation I just know how unbelievable Li tightly you manage everything so I felt like maybe this was an opportunity to give you just a tiny bit of breathing room yeah I mean if for the sewer line repair for last year where it's not something we can actually do by June 30th so we're going to just save that money to do over the you know as soon as they're able to do it so if we did the up to amount as I'm closing out the books if we have up to 20 great I can encumber that if we have only up to 10 I can just do the 10 um so it does give a little a little wiggle room um and I I would I I would be good with that I think that's that's great if that's how you're leaning just to be clear though basically with the 40,000 if you do the 30 for the first part and then the 10 then the other 10 would be beyond that number is that right that we go if it if it all falls out as you're saying yes because if we do the motion up to its kind of like what the trust funds where if we have the available money up to this amount we can do that but if we don't have 20,000 available I'm not going to reserve it so we don't drop below that 350 right I don't want to go below what we propose 350 is kind of the that was my concern yeah so it it gives us it does give us some wiggle room um and we'll just kind of you know through it does kind of take through July a little bit to really close things out and um so it gives us yes that flexibility in case and I am fairly confident that her is going to be yeah 10,000 as we close out you know little bits and pieces from different pose and stuff that will will add up so should we put that as a part of the motion or just say that the 20,000 half yeah we're is the floor to that effect all we have to do is is say either 10 or 20 or whatever we decide we're just talking about encumbering a certain amount of money between now and the end of the fiscal year we don't have to do all that yeah yeah and like Christie said to to Siemens for these repairs they often are more expensive than you think yep and using that language up to is what gives us that flexibility where if say something else comes up and we don't have that flexibility whirling maybe only up to 15 then or yeah you know right and that money would just go back towards your 350 correct correct um at what point are we going to talk about replacing the boiler it's heavy duty going to be on I mean we keep talking about it but I'm sure it's being held it's the first thing I thought I was and the controls like right right yeah cuz that was I mean part of what we're experiencing is is we entered into 2 agreement with Siemens which is 1 is service but keep in mind that's not any service that's your annual service spot checking certain key things right so when we run into problems that's not covering your service agreement and then we have our controls agreement which is the new controls the management of that um and when you put new controls I live with an HVAC person so yeah we talked about this yeah it it is going to ask demand of parts that are old of components that are old and that demand is going to wear over time and I just love yes this is exactly what we need is going to happen I mean it's the high risk area I know right yeah I just yeah yeah sounds like a whole new cookie sale you I mean you say up to 20,000 but you want to say for maintenance repairs you don't want to Target like semmens or right that's where that's going to go right good point yeah yeah uh I think I'm also comfortable with the 20,000 other folks are given that what you described yeah the iceberg okay this was funny to do these things long enough to be like oh there that's the thing that we knew was coming okay um okay so at entertain a motion to encumber up to $20,000 for facilities repair and maintenance projected facilities repair and maintenance is something yep so I feel this yes I feel the same way and thank you for it uh entertaining the discussion yeah no I absolutely you are reading over so agreement around best interest and how that works out um it works for us it makes sense the procedure we're all pretty clear on it you know the idea was to have this so if we're not around someday it's there it's and it would be this would be 1 of your annual policies that we would bring back I'm not going to bring it back this here cuz you're doing it now but we would bring it back every year to just say reaffirm this because it's linked to the area or grade it this is kind of linked to that student that we interviewed in that whole conversation earlier and yeah yeah okay that's what yeah and I just want to sort of plus 1 or highlight how I appreciate this policy and how actually important it is because you have it and it had instances in my time on the board where we haven't done it this way not healthy for either the sending or the receiving District so I feel happy to have this on the books and just flagging how it it's the way to do things thank you I would Echo that Leslie and I was really hung up a little bit I I was I thought doing this was a great idea and doing it in this way but I was hung up on how uh all the districts would sort of turn our keys at the same time
